The role:

The Executive Assistant supports the Director and senior leaders within Deakin’s Institute for Mental and Physical Health and Clinical Translation (IMPACT), helping drive smooth operations across seven research domains and nearly 400 researchers.

In this fast‑paced role, you'll manage complex schedules, communications and priorities, coordinate projects and events, and provide high-level administrative, operational and meeting support. You will draft key communications, maintain efficient office systems, support partnership activities, and champion continuous improvement. Success in this role requires strong relationship-building skills, adaptability and a proactive, customer-focused mindset.

                                                                                                                                       

To be successful, you’ll have:

  • A Degree with subsequent relevant experience; or
  • Extensive experience and specialist knowledge or broad knowledge in related or aligned technical or administrative fields; or
  • Extensive administrative experience preferably within a tertiary institution, research organisation or health sector.
  • Demonstrated ability to work with a broad suite of enterprise systems, exercising sound judgement and initiative to manage financial, people, research and governance processes supporting a Director in a medical research institute.
  • High-level computer skills in multiple software applications, including the Microsoft Office Suite, databases, Internet browsers and electronic mail exchange.
  • Demonstrated capacity to work autonomously, anticipate needs, adapt to changing priorities, and deliver accurate, high-quality work. Experience in a research, health, or complex organisational setting will be highly regarded.
  • Demonstrated analytical, investigative and problem-solving skills.
  • Highly developed ability to manage competing priorities, coordinate across multiple internal and external stakeholders (researchers, clinicians, university leaders, funding bodies), and maintain oversight of deadlines, governance requirements, and deliverables.
  • Demonstrated project and events management skills.
  • Demonstrated ability to exercise diplomacy, tact and discretion as well as proven experience handling sensitive and personal information in a confidential and appropriate manner.
