About the role:
The Senior Administration Officer plays a pivotal role in supporting the success of Faculty Services and the University. You will provide high-quality administrative support, manage information with accuracy, and ensure effective communication across the Division. The role also offers variety, with opportunities to contribute to projects, events, and process improvements as directed by the Executive Director.
As a Senior Administration Officer, you will:
- Oversee the regular update and accuracy of resources such as SharePoint and Teams sites within the Office of the Executive Director.
- Regularly review, triage and respond to emails received via the Faculty Services mailbox, delegating to appropriate staff for action where required.
- Efficiently manage the diary of the Executive Director, using initiative to anticipate requirements.
- Generate and update content for Faculty Services SharePoint sites and newsletters, ensuring essential resources (e.g. organisational charts, contact lists) are regularly refreshed.
- Support the coordination, planning and delivery of workshops, retreats, town halls and other Faculty Services events.
- Oversee the regular update of resources such as SharePoint and Teams sites within the Office of the Executive Director, Faculty Services.
- Prioritise work and critical activities, monitor progress, and recognise barriers to achieving outcomes.
- Build productive relationships with a diverse range of stakeholders, communicating with confidence and using examples to increase understanding and support.
To be successful, you will have:
- Demonstrated experience working effectively in a high-paced environment, managing complex and sensitive information.
- Proven capability in SharePoint, PowerPoint and Microsoft Teams.
- Experience providing administration and related support within a large organisation with complex structures, policies, and procedures.
- Experience operating in high-pressure environments, managing face-to-face, telephone, and written communications.
- Demonstrated ability to provide high-quality services and support within a large organisation.
