The role:

To provide professional executive and administrative support to the Head of School to ensure the Head of School’s office operates in an efficient and effective manner. In addition, this position manages and implements a range of specific projects relating to the development of the School of Health and Social Development as delegated by the Head of School.

 

As an Executive Assistant, you will:

  • Read, interpret, analyse and prioritise all incoming and outgoing communication, ensuring discretion and confidentiality, referring to relevant University policies and procedures to ensure accurate response and advice is provided.
  • Coordinate the Head of School’s calendar ensuring effective and efficient use of time, negotiating with both internal and external stakeholders to organise and prioritise meetings.
  • Prepare and organise all necessary materials for meetings and events, assist with report and presentation preparation and analyse and collate information.
  • Plan, coordinate and execute a variety of events, including logistics, catering, scheduling and resource management and technology requirements.
  • Coordinate travel arrangements for the Head of School, School Executive members and visitors to the School
  • Provide administrative support to a range of committees/groups  by developing strong governance processes to ensure the systematic organisation of meetings, drafting agendas and minutes (in consultation with the Head of School), follow up of action items and preparation and dissemination of related correspondence.
  • Coordinate a number of human resource tasks for the school (i.e. monitoring DeakinAchieve, compliance training, academic promotions, leave management etc) to assist in the effective management of staff.
  • Undertake a range of projects as directed by the Head of School/School Manager.
 

                                                                                                                                       

To be successful, you’ll have:

  • A tertiary degree or extensive experience and coordination expertise in administrative fields.
  • Familiarity with University management, planning and continuous quality improvement processes (desirable)
  • Knowledge of issues and policies affecting the higher education sector and university governance (desirable)
  • Working with Children’s Check (Employee) or willing to obtain
